Who runs ProofCrew

ProofCrew (proofcrewreports.com) is operated as a sole proprietorship trading as ProofCrew Reports, based in Anna, Texas, USA. You can reach us at jobproofreports.support@gmail.com.

What we collect

Your account. You sign in with Google. We receive your name, email address and profile picture from Google. We never see or store your Google password.

Your company profile. Whatever you enter — business name, technician name, phone, email, website, licence details and your logo.

Your reports. Everything you put into a report, which typically includes details about your customers: their name, service address, phone number and email, plus service details, notes, photographs you upload and any signature captured on the approval step.

Billing. Payments are processed by Stripe. Card numbers never reach ProofCrew's servers. We store only the identifiers and status Stripe returns — a customer ID, a subscription ID, the plan, its status and its renewal date.

What we do not do

  • We do not sell or rent your data, or your customers' data, to anyone.
  • We do not run advertising, and we do not share your data with advertisers.
  • We do not use advertising trackers, tracking pixels, or third-party session recording, and there are no tracking cookies on this site.
  • We do not read your reports except where you ask us to help with a specific support issue.

What we measure

We record a small number of first-party product events so we can tell whether the product works: a page being viewed, a report being started, finished or shared, a customer opening a shared report, checkout being started, and errors. Nothing is sent to a third-party analytics company.

These events deliberately cannot contain your customers' information. The only details attached are things like which trade a report was for and how many photos it had. Customer names, addresses, report contents, notes, photographs and signatures are never recorded, and the system that receives them rejects any field that is not on a fixed list.

If your browser sends a “Do Not Track” signal, we record nothing at all.

Reports you share with a customer

A finished report is private until you choose to share it. When you do, we create a link containing a long random code and the report becomes readable by anyone holding that link, without an account. That is what lets you text it to a customer.

It also means a forwarded link opens for whoever receives it. The code cannot be guessed and the pages are excluded from search engines, but the link itself is the key. You can revoke sharing at any time from the report, which stops the old link working immediately and permanently. Photographs on a shared report are still served through short-lived links rather than made public.

Where your data lives

Your reports, company profile and photographs are stored in a Supabase project (PostgreSQL and private file storage) hosted in the United States. Database access rules restrict every row and every uploaded file to the account that created it. Photographs are kept in a private storage bucket and are only ever served through short-lived links generated for you.

The site itself runs on Cloudflare Workers. Two things are loaded from Google: the typefaces, and the Sign in with Google widget used on the sign-in screen. Both mean Google receives the network request that serves them. Neither is analytics or advertising.

Storage in your browser

ProofCrew keeps a sign-in token in your browser so you stay logged in, and caches the job you are currently working on in your browser's local storage so the builder still works if your connection drops. These are functional, not advertising. Signing out and clearing your browser data removes them.

The people in your reports

Most of the personal information inside ProofCrew is not yours — it belongs to your customers. You decide what to enter, and you are responsible for having a lawful basis to collect and store it and for what you do with the reports you produce. We hold and process that information on your behalf so we can provide the service to you.

If one of your customers contacts us directly about their information, we will direct them to you, since it is your account and your relationship with them.

Who else can see it

We share data only with the providers that make the service work:

  • Google — sign-in only.
  • Supabase — database, authentication and file storage.
  • Cloudflare — hosting and delivery of the site.
  • Stripe — subscription payments and invoices.

We may also disclose information if the law requires it, or to protect the safety or legal rights of ourselves or others.

How long we keep things

Reports stay in your account until you delete them. Moving a report to Trash keeps it and its photographs; deleting it forever removes the report and the photographs it owns, and that cannot be undone.

Ending your subscription does not delete anything. Your existing reports remain available to open, print and download. We simply stop allowing new reports and edits until a subscription resumes.

If you want your whole account and everything in it deleted, email jobproofreports.support@gmail.com from the address you signed up with and we will remove it.

Your choices

  • See your data — it is all visible in the app, under My Reports and in the builder.
  • Take it with you — every report can be downloaded as a PDF at any time, including after a subscription ends.
  • Delete it — individually from Trash, or the whole account by emailing us.
  • Stop billing — cancel any time from Manage Billing; access continues to the end of the period you have already paid for.

Security, honestly stated

Data is encrypted in transit, access is restricted per account at the database level, and payment details never touch our servers. No service can promise perfect security, and we are not going to pretend otherwise. If we ever discover a breach affecting your data, we will tell you.

Children

ProofCrew is a tool for businesses and is not intended for anyone under 18. We do not knowingly collect information from children.

Changes

If this policy changes materially, we will update the date at the top of this page and, for significant changes, email the address on your account.
